HACCP cleaning schedule and checklist

This HACCP cleaning schedule template works as a cleaning and disinfection checklist: you list each surface and piece of equipment with the product from your cleaning plan, then record every clean and who checked it. Cafés, snack bars, food trucks and small restaurants fill it in every day, usually at the end of service. Weekly and monthly tasks, such as cleaning behind the fridges, go on the same sheet.

What the law requires

Regulation (EC) No 852/2004, Annex II, Chapter I requires food premises to be kept clean and in good repair, and Chapter V requires equipment that touches food to be cleaned effectively and, where necessary, disinfected. Article 5 asks for HACCP records that fit the size of the business. In the UK, the Food Standards Agency pack Safer food, better business has the same kind of cleaning schedule and closing checks. Which tasks you do and how often come from your own HACCP plan and the national guide.

Keep a written cleaning plan with the products and the method. Ideally one person cleans and another person checks and signs.

How to fill it in, in 5 steps

  1. 1Write the month, the area and every surface or piece of equipment on the sheet, with the product, dilution and method from your cleaning plan.
  2. 2Clean each item at the time set in your cleaning plan, for example work surfaces after each task and at the end of service.
  3. 3After each clean, tick the box for the day, write the time and the product used, and add your initials.
  4. 4If a clean was missed or a surface is still dirty at the check, clean it again and record what happened in the corrective action log.
  5. 5Have a second person check the result and sign the row, then keep the completed sheet in the HACCP folder.

Easier in EZLineGo: you set up the cleaning plan once and then record every clean from your phone.

Questions

How often should a commercial kitchen be cleaned?

Work surfaces and equipment that touch food are usually cleaned after each task and at the end of the day, with deeper cleans weekly or monthly. Your cleaning plan sets the exact schedule for each item.

What is the difference between cleaning and disinfection?

Cleaning removes dirt, grease and food residue with detergent and water. Disinfection then reduces bacteria to a safe level and works only on a surface that is already clean.

Who should sign the cleaning checklist?

The person who cleans initials each task, and it is good practice for a second person to check and sign. You can keep the same log in the EZLineGo app on your phone and show it as a PDF at an inspection.

How long do you keep the logs?

As long as your HACCP plan and the rules in your country require. Regulation (EC) No 852/2004, Article 5, requires documents and records that fit the nature and size of the business.

The templates help you keep records. They do not replace your own HACCP plan.

On your phone instead of paper

In EZLineGo, cleaning, temperatures, deliveries, health records and training are in one place, and at an inspection you show them as a PDF.
