Hygiene training attendance record

A hygiene training attendance record shows who was trained, on what topic, by whom and with what result. Every food business with staff keeps it, from a two-person food truck to a small restaurant. You fill it in at each training session, including the induction of a new employee and each refresher.

What the law requires

Regulation (EC) No 852/2004, Annex II, Chapter XII requires food handlers to be supervised and instructed or trained in food hygiene in line with their work. The same chapter requires the people who develop and maintain the HACCP procedures to be trained in the HACCP principles. In the UK, the Food Standards Agency pack Safer food, better business has the same kind of staff training record. The topics and how often training is repeated come from your own HACCP plan and the national guide.

Food handlers must be supervised and instructed or trained in food hygiene in line with their work (Regulation (EC) No 852/2004, Annex II, Chapter XII).

How to fill it in, in 5 steps

  1. 1Write the place, date and length of the session, the topic and the name of the trainer at the top of the sheet.
  2. 2Fill in a sheet at every session: when a new employee starts, when tasks or rules change, and at each regular refresher.
  3. 3Have each participant write their name and role and sign the sheet, then write the test result next to each name.
  4. 4If someone fails the test or misses the session, set a new date, write it on the sheet and keep them under close supervision until then.
  5. 5Have the trainer sign the sheet, attach the test papers or training materials, and keep it in the HACCP folder or in each employee's file.

Questions

Is food hygiene training a legal requirement?

Food handlers must be supervised and instructed or trained in food hygiene in line with their work. Whether a certificate or a set course is required depends on your country.

How often should food hygiene training be refreshed?

There is no single EU interval. Many businesses refresh training every year and whenever tasks or rules change, and some national guides set a fixed interval.

What should a training record include?

The date, place, topic, trainer, each participant's name and signature, and the test result if there was one. You can keep the same log in the EZLineGo app on your phone and show it as a PDF at an inspection.

How long do you keep the logs?

As long as your HACCP plan and the rules in your country require. Regulation (EC) No 852/2004, Article 5, requires documents and records that fit the nature and size of the business.

The templates help you keep records. They do not replace your own HACCP plan.

On your phone instead of paper

In EZLineGo, cleaning, temperatures, deliveries, health records and training are in one place, and at an inspection you show them as a PDF.
